Privacy policy
Kazi helps small businesses run their brand, their posts and their customer chats from a phone. This page explains what we collect, why, who helps us handle it, and how you can have it deleted. Kazi runs Kazi. Write to hello@kazi.app with any question.
What we collect
- Your account: your email address and name, and whether you signed in with an email code or with Google. We never see your Google password.
- Your business: its name and type, the brand choices you made, your products (name, description, price, stock and photos) and the pictures and texts made for you.
- Your customers’ messages: if you connect your WhatsApp, we receive the messages your customers send to that number so your assistant can answer them: the sender’s phone number and the name shown on WhatsApp, the text, and any order made. You decide whether to connect WhatsApp, and you can disconnect it at any time.
- Your voice, if you use the microphone: speech is turned into text by your phone’s own speech service (Google or Apple). We receive only the text.
- Payments: you pay on our website with mobile money. The payment provider handles your number and PIN. We receive only a reference, the amount, the provider and the date.
- Technical records: your IP address and which part of the service you called, kept for a short time to keep the service safe and to stop abuse.
- Crash reports: if the app or our server hits an error, a report is sent so we can fix it. It says what went wrong and on which screen, with your name, email, phone number, messages, tokens and request contents removed before it leaves.
- Anonymous usage numbers: which screens are opened and which steps are finished (for example, "added a product"). They are not linked to your name, email, phone number or account, and contain none of what you typed. You can switch them off in the app: Profile, Share usage numbers.
We do not show ads and we do not sell your data. The app has no advertising tools and does not follow you across other apps or sites.
Why we use it
- To run the service you asked for: your brand, your catalog, your posts, your customer chats, your Kazi Actions.
- To keep it secure and fair (sign-in checks, limits against abuse).
- To answer your messages to us and to keep the records the law asks us to keep, such as payment records.

Pictures (product photos, logos and the posts we make for you) are stored on our servers and are only shown to the owner who signed in.
These providers may run their servers outside your country. We share only what each one needs for its job, and we do not allow them to use it for their own advertising.
How long we keep it
- While your account is open, we keep what you added so the app works.
- Crash reports and anonymous usage events are kept by Sentry and PostHog for a limited period and are not tied to you.
- When you delete your account, your businesses, products, pictures, customers, chats and Kazi Actions are deleted from our database straight away, and your sign-in record is removed. Copies in our safety backups are overwritten within 14 days.
- Payment records (reference, amount, date) are kept for our accounting. They are kept without your name or email.
Your choices and rights
- Delete your account in the app: Profile, then Delete account. Or follow these steps.
- Ask us for a copy of your data, to correct it, or to stop using it for a purpose, by emailing hello@kazi.app. We answer within 30 days.
- Disconnect WhatsApp at any time in Connections. That stops us receiving your customers’ messages and removes the saved login.
- Your customers can ask you, or us, to delete their messages. If they write to us, we will delete them from your account and tell you.
If you are the business owner
Your customers’ messages belong to your business. You are responsible for telling your customers that an assistant answers on your behalf and for using their details lawfully. We handle those messages only on your behalf and for the purpose of running your chats.
Security
Everything travels over encrypted connections. Each request is checked against the signed-in owner, and one owner can never read another’s data. No system is perfectly safe. If something goes wrong that affects you, we will tell you.
Children
Kazi is for people running a business and is not meant for anyone under 18. If you think a child has an account, tell us and we will delete it.
Changes
If we change this page in a way that matters to you, we will say so in the app before it takes effect. The date at the top shows the latest version.
